What is Insight Subscription Services?
Insight Subscription Services is a new way to purchase and use our Insight Services products. It provides data and analysis to inform mission-driven organizations as they make critical decisions. Insight Services utilizes analytics, the synthesis of client data and relevant external data derived from demographic research, surveys and cultural analysis to deepen clients’ understanding of both challenges and opportunities.. Access to this information gives leaders unprecedented perspective and clarity into their organizations and membership. The depth of insight this data provides is analogous to seeing in 3 dimensions what was previously flat.

Insight Services include, but are not limited to: demographic mapping and analysis, financial capacity analysis, drive-time analysis, market share analysis, market potential analysis, regional studies and survey creation, implementation and analysis.

These services have previously been priced and delivered on an individual project basis. Now, we are bundling these services and charging an annual subscription fee, which allows our clients to have access to all of these powerful analyses at a lower cost. Subscription clients have the ability to order services, administer their account and pay invoices online through a secured web site  when it is most convenient for them. .

Insight Subscription Services is not an automatic analysis-generating program. Every map and analysis is handled personally by our specialized team of GIS analysis professionals. This ensures all products are as accurate as possible. It also ensures our clients will be able to speak with an Insight Services specialist who is knowledgeable about their specific products if questions or concerns arise.  

What benefits do I get?
In addition to the benefits of the maps and analyses themselves you get

  • The ability to customize the demographics most relevant to your organization. This allows you to see your organizations’ data in a way previously unavailable.
  • Access to maps and analyses is a unique benfit allowing you to create requests as well as review and download completed products.
  • Access to our Insight Services specialists allows you to customize your analyses and get timely answers to all of your questions.
  • Access to your account allows you to pay invoices online by bank account or credit card when it is most convenient for you.
  • The ability to get longitudinal analysis after the first year as an Insight Subscription Services client. We collect your data every year to create your maps and analyses. The longer you are with us, the richer your dataset becomes. When we have multiple years of data on file our Insight Services specialists can begin to use data analysis to track trends and patterns. This can be useful for tracking membership, giving, student registration, modeling scenarios, changes in membership during times of transition due to new leadership, new facilities, or new competition.

Regional level organizations (Diocese / Synod) benefit from the system-wide analyses if its local level organizations participate in Insight Subscription Services. By identifying commonalities and assumptions between local level organizations relationships and interdependencies can be revealed bringing a higher level of clarity to the regional organization.  

What can I use these maps and analyses for?
Making critical decisions is a question-generating process. You may come across questions like

  • “Is it time to expand our programs or facilities?”
  • “Can our membership financially support the change?”
  • “Where is the growth or decline in my community?”

The maps and analyses provided by our Insight Services are designed to answer these kinds of questions by providing information about your current condition on which to base a decision.

Maps and analyses are available to answer the following types of questions.

Location “What is at…?’
If you want to find out what objects or events exist at a particular location. “How many other schools are there in a 10 mile radius?” “How many of our members come from across the river?”

Condition “Where is it…?”
If you want to determine which areas in your local area meet certain conditions. “Where do people make an average of $50K and $75K per year?” “What percent of the local population is Catholic?” “What local areas have a growing number of school-age children?

Trends and Patterns “What has changed since…?”
If you want to track changes over time. “How have different ethnicities grown or declined over the past 5 years?” “Is our community getting older or younger?”

Modeling “What if we…?”
If you want to predict how changes might affect your community. “What if we change the school boundaries?” “What if we move our worship space across the highway?”

Spatial “What is the geographic relationship between…?”
If you want to determine how distances affect your organization. “Is there a link between how far people drive and their level of involvement?” “How much of our membership is within 3 miles of our location?” “How many people live close to our parish but choose to attend a parish farther away?”

Surveys are available to answer the “Why” questions. “Why is our membership declining?” “Why are we suddenly understaffed at our school?”

Consulting services are also available to answer the “How” questions.  “How do we proceed?” “How do we get from where we are to where we want to be?” “How do I make these critical decisions while maintaining the integrity of our mission?”

What’s the cost?
There are two levels of subscription and each has a different associated cost and different benefits.

There is a local level subscription for individual churches and schools. This subscription includes

  • Customized demographic mapping,
  • Financial capacity analysis,
  • Drive-time analysis,
  • Longitudinal analysis, and
  • Two client-specific research projects for the period of one year.

These analyses are managed through the account created for our online interface. The online interface will also be the primary method for administering the payment of invoices.

The cost of a one year subscription is $3000.

There is a regional level subscription for the administration/planning offices of a Diocese/Synod. This subscription includes all of the benefits of a local level subscription in addition to a desktop application developed by TeamWorks for data modeling and the creation of a system-wide database. The desktop application contains all the data collected for the current year from all participating churches and schools and allows the user to create custom demographic maps and analyses at the touch of a button. The collected data will be compiled into a central database for use in creating “system-wide” analyses to answer system-level questions.

The yearly cost for a regional level subscription is $45,000.

This includes the database setup fee for regions with fewer than 50,000 members. There is a modest setup fee for larger regional organizations dependant upon the number of members.   

What are the benefits to TeamWorks?
Numerous collaborations with both local and regional level organizations over the past five years has allowed us to streamline our processes to be more effective and have greater impact. Switching to an online system with bundled services allows us to manage projects more efficiently and reduce the internal cost of map production. We’ve chosen to pass the savings on to our clients as a matter of mission.  

The value of Insight Services brought to past and current clients highlights the need for it in Faith/Spiritual and Educational organizations. We have made a conscious choice to engage in this work in these environments and are deeply invested in each client’s success.

I’ve signed up on the website…now what?
Once you’ve completed the on-line sign up form, one of our staff members will create your account on the Insight Subscription Services client interface. then send you an e-mail containing your username, password (for verification), instructions for how to log in and a “Getting Started” list of tasks to complete once you have logged in.

I’ve logged in, updated my information, and paid my invoice…now what?

Now you are ready to begin the map request creation process.
The first step is to upload your data.

  • Under the “Client Information” tab there is a sub-heading “Data.” If you click on
      “Data” you will be sent to the page that is used to manage your data files.
  • Under the “Add Data File” heading there is a “browse” button. This will allow
       you to locate the data file on your local machine that you want to upload.
  • After selecting the correct file you can use the “Name the File” field to give your
       uploaded file a special name like “November 2007 Member Addresses”
  • Press the “Upload File” button and your data will upload to our secure server.

The second step is to create map requests.

Next to the “Client Information” tab is the “Subscription Services” Tab. This tab
              contains all the tools you will need to create a map or order the analyses that
              are included in your annual subscription.

Why do I need to give TeamWorks data?
Our analyses utilize a technology called GIS (Geographic Information Systems) We use data gathered from the 2000 Census (projected to current and forecast years by ESRI Business Solutions) that is arranged geographically by census block. We use your members’ addresses to determine which census block they live in. This forms the basis of our analyses. The more data you can provide about your members, the more possibilities we have for analysis.

What kind of data do I need to give?
We prefer that all data come in the form of an Excel spreadsheet or Access database. The fields we require are “Street Address”, “City”, “State” and “Zip Code” for all of your members for basic demographic mapping. If you want to take advantage of Financial Capacity Analysis we will need information such as “Yearly Stewardship” or “Tuition.”

For your focused research questions you may want to include information such as Faith Formation, whether they attend the parish school, age, grade, number of children, whether they are new members or capital campaign giving. The more information you can provide, the more powerful your analysis can be.

An Excel spreadsheet template will be e-mailed to you with your login information.

Is my data secure?
Absolutely. Your data is stored on our secure server and remains confidential. It is not used for purposes outside of client agreement. We do not give or sell your data to any other person or organization.

Even though we store your data on our server for analysis purposes it remains your data. We can’t do anything with your data unless you request it or give us written consent.

What if I don’t have my information in a database?
There are two options available to you if you have not input your membership data into an electronic database. You can have someone at your organization input the information. You can also send us the paper copies and we can input them for you. However, as this is not within the scope of a subscription you will be charged an administrative fee of $50/hour. Because our analysis is done with a series of computer programs we need to have an electronic copy of your member data.   

I uploaded my data. What do I have to do to create a map request?
Click on the “Subscription Services” tab. The first screen you see should be the “Demographic” section. This screen has two areas: “Standard Map Set” and “Custom Map Request”. If this is your first time requesting maps we would strongly suggest requesting a Standard Map Set before creating custom map requests.

To create a map request:

  • Choose a “Demographic Set” from the dropdown menu

  • Choose a “Demographic Subset” from the dropdown menu (the subset is dependent upon what you choose for a demographic set)

  • Choose the year you want to see the map for. The first dropdown allows you to choose from a number of single years. If you click the “% Change” checkbox you will activate the second dropdown. Choosing a second year allows you to see the % Change between Year 1 and Year 2. (for example 2000-2005)

  • Click the “Create Request” button. When you click this button you should see your map request appear in the “Requests” area at the bottom of the page. All of the fields you selected above will appear as one map title (example: Population Age 15-19   2005-2010)

  • If this is correct then send the map request to the shopping cart by pressing the “Place to Cart” button next to the item in the “Requests” area.

  • When you are finished creating maps, go to the shopping cart and process your order. If you are a subscriber the items you created requests for under the “Subscription Services” tab will have a cost of $0.00. Process the order even though you are not being charged. If you do not process the items through the shopping cart we will not receive your requests. 

 

What is the Standard Map Set?
It is a set of maps that we have received the most requests for. It is designed to introduce you to demographic trends in your community and identify those demographics that are of concern or warrant future study.

This map set includes;

  • Population by Age (0-18, 19-40, 40-65, and 65+)
  • Population by Race (Asian, Black, Hispanic, Native American, and White)
  • Household Income,
  • Disposable Income, and
  • Home Value For 2000, 2007, 2012, and
  • 2007-2012 Percent Change

If you are part of a participating diocese/synod there may also be a customized

  • Parish Member Density Demographic.

Usually these maps do not provide answers in and of themselves, but rather serve to create new, more focused questions. After reviewing your Standard Map Set you will have a better idea of what custom maps to create requests for and what kinds of questions to ask so that the insight provided by our research can have maximum impact.

It is strongly recommended to order this product before creating custom maps.

Why do you call it “creating a map request”? Aren’t I creating a map?
 It is called a request because the tool you are using doesn’t create the map. When you select the demographics and years you want to see you create a request. When you process that request through the shopping cart it is sent to our Insight Services team for completion. We create the map(s), upload them to your account and notify you by e-mail when they are ready for download.

The reason for this is simply that automatically generated maps can’t deliver the levels of quality and customization that we have set as our standard. We prefer to create our maps on an individual basis to assure that your information is displayed honestly and brings maximum value to your organization.

I’ve created a map request. Where is my map?
In order to process your map requests there are a few things that need to have happened. Please check the list below to ensure you have completed all the items.

  • Uploaded your membership data. We need an Excel spreadsheet or Access database file containing the addresses of your members to place them on the map you’ve requested.
  • Processed your request through the shopping cart. Even though the items covered by your annual subscription have a price of $0.00 you still need to process the order through the shopping cart. You won’t be charged anything. Processed orders are sent to us in an e-mail by the shopping cart utility. This is the only way we can know what maps you would like us to create for you.
  • Paid the invoice for your annual subscription. When you signed up for Insight Subscription services an invoice was created for the price of a one year subscription and placed in your “Outstanding Invoices” area (in the “Account” section under the “Client Information” tab). This invoice can be paid online. 

 

If you have completed all of these steps then your order is being processed and you will receive a notification by e-mail when it is completed and ready for download.

Where do I download my maps once they’re done?
Under the “Client Information” tab, select the “Data” section. The first area on the page “Your Data Files” will contain all of your maps as they are completed and uploaded. To retrieve them press the “Download” button next to the item. If you no longer want to see an item appear in “Your Data Files” press the “Delete” button next to the item.

If you forgot which maps you ordered last you can either check the “uploaded” date of the items in the “Your Data Files’ section, or go to the “Account” section under the “Client Information” tab and you will see displayed under “Past Orders” all of the items you requested and the date you requested them.

 

What are all the “Additional Services” and why aren’t they included in my subscription?
These are related services we can provide to you to answer more detailed questions or improve the display quality of your requests.

These items are not covered by your subscription because the processes involved in creating large maps, surveys and accreditation reports utilize a great deal of internal resources and require a higher level of collaboration and coordination with you.

How do I get a physical copy of the map?
There are several options available to you for getting a physical copy of the map.

  • After downloading the .PDF file of your map/analysis you can simply print it out on your local printer.
  • You can put the map files on CD, DVD, or USB drive and take them to a company with printing capacity like Kinko’s or Office Max.
  • During the map request creation process there is a checkbox to “Upgrade to cardstock booklet”. If you select this checkbox we will professionally print and bind your maps into an 11”x17” cardstock booklet for a modest fee that includes shipping and handling.  We send all map orders through standard US mail unless otherwise requested.
  • If you want large copies of your maps for meetings or display you can select the “Additional Services” tab and the default section “Large Map” and scroll down to the “Create Custom Large Map Request” section. Here you can create a custom map request in the same way you did in the other section. The maps ordered here are 36"x28" and come custom matted and framed with white mat board and silver aluminum frames.

Can I reproduce maps / analyses?
Yes. All maps created for you are yours to reproduce as you wish, electronically or on paper. The only thing we require is that the TeamWorks logo remains on any reproductions of maps or analyses. Replication or duplication of the maps and data tables without the TeamWorks logo and copyright notice is a violation of professional practice and Federal Law.

Who has access to my account?
Only you and those to whom you give your username and password.
One or more TeamWorks employees will have administrative access to support your account. With that level of access, we can manage your orders, manage your personal information / invoices, assign you a password and upload completed products, but do not have access to your credit card information.

Do I need multiple accounts?
No. A subscribing organization is given one account per subscription. Usually there is one person who handles the management of an organization’s Insight Services account. In the event you have a few people who need access please request a username and password they will all be able to use.

If more than one person needs access to the completed maps and doesn’t need access to the account information we have an FTP site for your convenience. Please let us know and we will create an FTP account for you. Your account is assigned a folder for you to upload your maps and analyses for future view or download anywhere in the world you can connect to the internet. How are financial transactions handled?
All financial transactions are handled by PayPal. Your order is processed over a secure connection, and PayPal verifies your information and carries out the transaction with your credit card company or bank. This all happens in a back-end program so you don’t have to sign up for a PayPal account or even leave the Insight Services interface page to complete a transaction.
